This Privacy Policy explains how OutfitterAI ("we," "us," or "our") collects, processes, uses, and protects information in connection with our business intelligence platform for field service businesses.

By using the Service, you agree to the practices described in this policy.

1. The Core Architecture: Your Data Stays on Your Machine First

OutfitterAI is built around a fundamental design principle: data processing begins on your machine, not ours.

When you export data from your field management software (such as Jobber) or accounting platform (QuickBooks), that export is processed locally before being submitted to OutfitterAI. This local processing step performs two critical functions:

PII Scrubbing Before Transmission

Before any data leaves your environment and reaches OutfitterAI's systems, all personally identifying information (PII) is stripped from the dataset. This includes:

• Customer names, addresses, phone numbers, and email addresses
• Customer account numbers and any other direct identifiers
• Technician personal details beyond role-level identifiers
• Any payment method, credit card, or banking information

What OutfitterAI receives is operational signal data only — job counts, revenue totals, time metrics, category performance, geographic service zones, and other aggregated business performance indicators. We never receive, store, or process a file that contains your customers' personal information.

Compute on Your Hardware

The scrubbing and preparation process runs on your machine using your computing resources. This is intentional: it keeps sensitive data processing under your control and eliminates the technical exposure that comes with transmitting raw customer data to a third-party service.

2. What We Receive and Store

After local processing, OutfitterAI receives and stores the following categories of data:

• Anonymized business performance data: Revenue figures, job volumes, close rates, ticket averages, labor costs, and similar operational metrics — all stripped of personal identifiers.
• Temporal and categorical signals: Job types, service categories, geographic service areas (at the zip code or metro level, not street address level), and time-based patterns.
• Account and contact information: Your name, business name, email address, phone number, and billing information for account management and service delivery.
• Usage data: How you interact with the OutfitterAI platform, which plays you access, and similar product usage signals used to improve the Service.

3. How We Use Your Data

We use the data we receive for the following purposes:

• Delivering the Service: Building your monthly intelligence briefing, generating play recommendations, and enabling AI chat with your business data.
• Network benchmarking: Your anonymized operational data is included in the aggregate benchmark dataset used to compare performance across operators in your trade and market. Individual businesses are never identified in benchmark outputs.
• Improving the platform: Understanding how the Service is used to improve play quality, briefing accuracy, and overall product experience.
• Coaching support: Sharing relevant briefing data with your assigned coach to enable meaningful monthly calls.
• Communications: Sending service-related communications, briefing notifications, and product updates.

4. The Benchmark Database: How Your Data Contributes

A core part of the OutfitterAI value proposition is the network benchmark — the ability to show you how your numbers compare to operators in your trade and market. Your anonymized operational data contributes to this benchmark. Here is exactly how that works:

• Your data enters the benchmark pool only after PII scrubbing, as described above.
• Your business is never individually identified in any benchmark output delivered to any other client.
• Benchmarks are presented as distributions, ranges, and quartile comparisons — not as named data points.
• A minimum cohort size is required before any benchmark is published; no metric is surfaced if it could be traced back to a single operator.

5. Data Sharing and Third Parties

OutfitterAI does not sell your data. We do not share your business data with advertisers, data brokers, or any third party for commercial purposes outside of delivering the Service.

We may share data with:

• Service providers: Cloud infrastructure, analytics, and business operations vendors who process data on our behalf under confidentiality obligations.
• Coaches: Your assigned coach receives access to your anonymized briefing data to support monthly calls. Coaches operate under confidentiality agreements.
• Legal requirements: We may disclose data if required by law, court order, or regulatory requirement.

5a. Mobile Messaging (SMS) — Consent, Use, and Opt-Out

OutfitterAI may send SMS / text messages to phone numbers you provide. This section describes how we collect, use, and protect those numbers, in compliance with TCPA, CTIA messaging principles, and US carrier A2P 10DLC requirements.

How we collect your phone number and consent

We obtain phone numbers and SMS consent through one of two methods:

• Verbal opt-in during a recorded sales conversation. When you speak with our sales team (inbound or outbound) and verbally provide your phone number to receive product information, demo invitations, or follow-up, that conversation is recorded and the consent is logged in our CRM with timestamp.
• Web form opt-in. When you enter your mobile number on a form on getoutfitter.ai — principally getoutfitter.ai/get-started and getoutfitter.ai/front-desk (“Call me now”), and also demo request, contact, signup and pilot-program forms — or on a contractor page powered by our platform, such as buildflowbasements.com/start. On these forms the consent disclosure is printed directly beneath the submit button, so it is in front of you at the moment you tap it; tapping the button is the affirmative act of opting in. The disclosure on getoutfitter.ai/get-started reads: “By tapping Send my website you agree to receive texts and calls about your site from Outfitter, including AI-generated ones. Msg & data rates may apply. Reply STOP to opt out.” Where a form uses a consent checkbox instead, that checkbox is unchecked by default and you must check it yourself. Consent is not a condition of purchase. Every opt-in is logged with a timestamp, the opt-in method, and a version key identifying the exact consent wording that was displayed to you.

What kind of messages we send

SMS messages from OutfitterAI are personalized 1-to-1 messages — not broadcast marketing blasts. Typical content includes the link to the website or project portal we built for you, appointment and consultation confirmations, estimate and scheduling updates, follow-up after a sales conversation, pricing information, account notifications related to your trial or subscription, and replies to questions you send us. If you use Front Desk, our AI receptionist, we also text you a summary of each call she takes for your business, to the number you gave during setup. Some of these messages are generated by our AI assistant; the consent disclosure on each form says so before you opt in.

Message frequency

Frequency varies based on your stage in our sales/customer lifecycle and your engagement, typically 0-4 messages per week. You will not receive recurring scheduled messages without engagement.

Cost

Standard message and data rates from your mobile carrier may apply. OutfitterAI does not charge you for SMS messages we send.

How to opt out

You can stop receiving SMS messages at any time by replying STOP to any message from us. We also recognize the standard opt-out keywords UNSUBSCRIBE, CANCEL, END, and QUIT. You will receive one final confirmation message confirming your opt-out. You can opt back in by texting START or UNSTOP.

Phone number sharing — explicit statement

OutfitterAI does not share, sell, rent, or distribute mobile phone numbers, SMS opt-in information, or message content to any third party for marketing purposes, ever. Phone numbers are used solely by OutfitterAI to communicate with you about our service. We may share phone numbers with telecommunications service providers (e.g., Twilio) strictly to deliver SMS messages on our behalf, under standard confidentiality and data-processing agreements.

6. Data Retention

We retain your account and business data for as long as your account is active. If you cancel your account, we retain your data for 12 months to enable reactivation and to fulfill any legal obligations, after which it is deleted or anonymized. Anonymized benchmark contributions remain in the aggregate dataset after account deletion and cannot be individually retrieved or reversed.

7. Security

OutfitterAI uses industry-standard security practices including encryption in transit (TLS), encryption at rest, access controls, and regular security reviews. Given the PII-scrubbing architecture described above, the data stored on our systems is inherently lower-risk than raw customer data — but we treat it with full security diligence regardless.

8. Your Rights

You have the right to:

• Access the personal and business data we hold about your account.
• Correct inaccurate account information.
• Request deletion of your account and associated data (subject to legal retention obligations).
• Opt out of non-essential communications.

9. Children's Privacy

The Service is intended for business use by adults. We do not knowingly collect personal information from anyone under 18 years of age.

10. Changes to This Policy

We may update this Privacy Policy from time to time. Material changes will be communicated via email or through the Service. Continued use of the Service after changes take effect constitutes acceptance of the updated policy.
